What you'll accomplish
A static spreadsheet listing every ERISA, ACA, NDT and pay transparency deadline only helps if someone remembers to open it and update it. This sets up a workspace that tracks status on its own and tells you what is coming due, instead of a file that goes stale the week after you build it.
What you'll need
What you should see: An empty table with a default column or two. Troubleshooting: If you are new to Notion, look for a template gallery when you create a new page. Starting from a blank table is simplest for this use case, but a tracker template can save setup time if one fits.
Build out the fields you need to track each filing or deadline as a row.
What you should see: A table with clear columns ready for data entry. Troubleshooting: Keep this table to filing metadata: what, when, who, and status. Do not put plan documents, individual employee data, or contract text directly into this workspace. Link out to those documents elsewhere if you need a reference.
What you should see: A full table reflecting your actual compliance calendar, not a sample or placeholder. Troubleshooting: If you are missing dates for something you know is required, like a state-specific pay transparency filing, mark it clearly as "Date TBD" rather than guessing, so it does not get lost.
What you should see: A written summary pulling directly from your table data, updating each time you ask again after the table changes. Troubleshooting: If the summary misses something you know is in the table, check that the relevant row has a value in every column the AI is reading from. A blank Due Date or Status field will not summarize correctly.
What you should see: A view that surfaces what needs attention now, separate from the full calendar of everything due all year. Troubleshooting: If the 30-day view feels too noisy or too empty depending on the season, adjust the filter window. NDT and Form 5500 season will always look busier than a quiet month in early spring.
What you should see: A tracker that stays accurate because updating it takes seconds, not a spreadsheet reconciliation project. Troubleshooting: If updates keep slipping, add a recurring reminder tied to your own calendar until checking the tracker becomes routine.
